Documents Required for GST Registration

Registering for GST is simple when the documents are ready and slow when they are not. Most delays come from a missing signature, an unclear address proof or a bank document that does not match the name on the application.
This checklist groups the documents by business structure. Start with your structure, then gather the items under it.
What is the best way for a CA firm to collect GST registration documents?
Send the checklist for the client's business structure with one upload link. Ask for clear scans or photos, and send the access code separately. Check each file as it arrives, because a single unreadable scan is the most common reason for a query.
Documents for every applicant

Bank proof. A cancelled cheque or the first page of a bank statement, showing the account holder's name, account number and IFSC.
Proof of the principal place of business. An electricity bill, a rent agreement or a no-objection certificate from the owner, if the premises are rented.
Registration proof, where applicable, such as a Shop and Establishment certificate.
Proprietorship
PAN and Aadhaar of the proprietor, with the mobile number linked to Aadhaar.
A passport-size photograph of the proprietor.
Partnership firm
The partnership deed, registered or unregistered.
PAN and Aadhaar of every partner, with a photograph of each partner.
An authorisation letter naming the authorised signatory.
LLP
The LLP agreement.
The certificate of incorporation issued by the Ministry of Corporate Affairs.
PAN and Aadhaar of the designated partners, with proof of the registered office.
A digital signature certificate for the authorised partner. This is mandatory, and the application cannot be submitted without it.
Company, private or public
The company's PAN.
The certificate of incorporation, the memorandum of association and the articles of association.
A board resolution authorising a director or employee as the authorised signatory.
PAN and Aadhaar of all directors, with a photograph of each director.
A digital signature certificate for the authorised signatory. This is mandatory.
Before you submit
Check that every name matches across the documents. A name spelt differently on the PAN and the bank statement causes a query. Check that the address on the application matches the address proof. Keep the application reference, so you can track it.
Common reasons for a query

Most queries come from small problems. A name that differs slightly between the PAN and the bank statement is one. A scan that cuts off part of the address proof is another. A photograph that does not match the Aadhaar image is a third. Check each file against the original before you submit, and the chance of a query falls sharply.
CA and tax firms that handle many registrations can see how the process fits together on the page for chartered accountants.
Questions people ask
Does a proprietor need a digital signature certificate?
The list above marks the digital signature as mandatory for companies and LLPs. For a proprietorship, the list does not include one. Confirm the current requirement on the GST portal for your case.
What if the premises are rented?
Provide the rent agreement and, where the list asks for it, a no-objection certificate from the owner. A clear address proof in the owner's name, or a document that links them to the premises, avoids queries.
What happens if the officer raises a query?
The officer will ask for a specific document or clarification. Reply within the time allowed, with only the documents requested, and keep a copy of your reply.
