GST Registration Documents for a Proprietorship: The Ones Clients Delay

Proprietor GST registration documents: PAN, Aadhaar, photograph, business address proof, bank proof

A sole proprietor's GST registration documents are a short list. The trouble is that the list arrives in pieces. The rent agreement sits in a cousin's drawer. The bank statement is on a phone nobody has charged since Tuesday.

The full list by business type is in our GST registration documents checklist. This page follows the order in which to collect the papers, and it names the two that usually slow a file down.

What documents does a proprietor need for GST registration?

A sole proprietor needs five core documents: PAN, Aadhaar, a photograph, proof of business address and bank proof. The application goes in on Form GST REG-01. The registration threshold is aggregate turnover above 40 lakh rupees for goods or 20 lakh rupees for services. Special category states have lower limits.

Day 0: send one list, not five messages

Send the full list on the same day. Name the form, GST REG-01, so the proprietor knows what the papers are for. Five requests spread over a week are easy to lose. One list is easier to finish in one sitting.

Day 1: identity papers

Ask for three things:

  • The proprietor's PAN card.
  • The proprietor's Aadhaar. Aadhaar authentication or biometric verification applies, so the proprietor must be reachable for that step.
  • A recent photograph of the proprietor.

Send Aadhaar copies through a secure upload, not a chat thread. Our piece on sharing Aadhaar on WhatsApp explains the risk.

Day 2 to 3: the business address

This is the step clients delay most. The address needs one of three papers: a recent electricity bill for the premises, a rent agreement, or a no-objection certificate (NOC) from the owner.

Say a client works from a room in her parents' house. The electricity bill is in her father's name. The fix is an NOC from the owner, her father, with the bill attached. Ask for it on day two, not day six.

Day 3 to 4: the bank proof

The second gap is bank proof. Use the account the business will use for its sales. Check that the account holder's name matches the PAN. Ask the proprietor for a clear scan of the bank proof that shows the account holder's name, the account number and the branch details, and confirm the account is active before the application goes in.

Day 5: check, then file REG-01

Read every paper against the others. The name should match on the PAN, the Aadhaar and the bank proof. The address on the bill should match the address you enter. The photograph should be clear. Ten minutes of checking saves a clarification round.

Then file REG-01 and keep the acknowledgement. A proprietor who also wants an MSME number needs Aadhaar, PAN and GSTIN where applicable. The steps are in Udyam registration documents.

After filing: a REG-03 notice

A clarification notice in Form REG-03 asks for more detail. The reply goes in Form REG-04 within 7 working days of the notice. Keep the same papers ready. Our guide to REG-03 clarification notice documents covers the reply.

How to collect these without the chase

Reposha, a WhatsApp alternative for client documents, turns this list into one request. You send the proprietor one upload link for the full set. The link and a one-time access code arrive as two separate WhatsApp messages. The proprietor uploads from a phone or laptop, with no account to create. Pages are in English and Hindi.

Each file lands in that Client's folder. Every open and download is logged. Each file can be up to 25 MB. You see the papers as they arrive, so the missing one is easy to spot.
