Udyam (MSME) Registration: Documents Required

Udyam registration documents are a short list, but the list is spread across people. A client asks for the Udyam number. Nobody has it. The Aadhaar photo in the chat is old, and the business PAN sits with a former staff member.
Udyam registration needs the Aadhaar of the proprietor, managing partner or authorised signatory, the business PAN, and the GSTIN where the business has one. It is free and online. The client declares the details, so the figures must come from the client's own records.
Our new client onboarding checklist covers the general intake. This article covers the Udyam questions that come up most often.
Which documents does Udyam registration need?
Three sets of papers. The Aadhaar of the person who files for the business. The PAN of the business. The GSTIN, if the business has one. Have all three ready before you open the form, so the client does not stop halfway through.
What should be ready before you start the form?
Put the three sets in one list, in this order: the signatory's Aadhaar, the business PAN, and the GSTIN if the business has one. Send one request that covers all three, rather than one message per paper. Because the registration is free and online, there is no fee to plan for. The only cost is the time spent gathering the papers, so set one short meeting for the client to confirm each detail.
Whose Aadhaar goes on the form?
Only the Aadhaar of the proprietor, the managing partner or the authorised signatory. Staff and family members are not part of this step. If the person who signs is not the owner, confirm that authority in writing before you start.
Do I need a GSTIN for Udyam registration?
Give the GSTIN where the business has one. Where it has none, that field does not apply. Check the GST record before filing, so the two sets of details match. If the client is a proprietorship without a GSTIN yet, our guide to GST registration documents for a proprietorship covers that route.
Which PAN goes on the Udyam form?
Use the PAN the business files its returns under. Check that the name on the PAN matches the name on the business records. A name that differs by one word can start a second round of questions, so check it once, carefully.
Does the Udyam form need the client's records to match?
Yes. The registration is self-declared, so the client confirms the details. Keep the turnover records for the year, so the figures can be checked against the books. Investment and turnover decide the category. Under the limits in force from 1 April 2025, a micro enterprise has investment up to ₹2.5 crore and turnover up to ₹10 crore. A small enterprise has investment up to ₹25 crore and turnover up to ₹100 crore. A medium enterprise has investment up to ₹125 crore and turnover up to ₹500 crore.
Where should the Udyam papers be kept?
Keep the Aadhaar and PAN copies in a secure folder, along with the acknowledgement and the turnover records. Keep the acknowledgement with the copies, so anyone who opens the file later can see what was declared. If the Udyam number is needed for a loan file, our DSA loan file checklist lists the papers that often go with it.
Can you collect Udyam papers without the chase?
Reposha, a WhatsApp alternative for client documents, turns this list into one request. The client gets an upload link and a one-time code, as two WhatsApp messages. They upload the Aadhaar, PAN and GST papers from a phone or laptop, with no account to create. Pages come in English and Hindi.
Each business gets a folder, and only staff with access to that Client can open its files. Every open and download is logged. Reposha keeps the papers in one place, so the next request starts from a complete file.
