ITR-3 for Business Owners: The Document List That Ends the Back-and-Forth

ITR-3 documents for business owners: books of accounts, bank statements, sales registers, TDS certificates, expense bills

Documents required for ITR-3 start with the books, not the Form 16. A business owner's file usually arrives in pieces, on different days, and the sales records are always the last to come.

ITR-3 is for individuals and HUFs with business or professional income that is not taxed under presumptive rules. Collect the books first, because the bank, TDS and audit papers check them. For FY 2025-26, the return is filed under the Income-tax Act, 1961.

Who needs ITR-3 rather than ITR-4?

ITR-4 (Sugam) covers presumptive taxation under sections 44AD, 44ADA and 44AE. If the business sits outside those schemes, the client files ITR-3. A consultant or a doctor with professional income falls in the same group, unless presumptive rules apply to them. ITR-1 is never an option once business or professional income is present. The ITR-4 presumptive taxation checklist covers the other route, and the complete ITR filing checklist gives the general list.

What to ask on the first call

Ask four questions before you request a single paper. Which activity earns the income, and did the client use a presumptive scheme in an earlier year? Which bank accounts carried business money, including any account used only for receipts? Which deductors deducted TDS during the year? Did the business hold stock at year end? Write the answers in the client file. They decide which papers you request, and they stop the list growing one email at a time.

Which books and papers come first?

  • Ledger and trial balance
  • Sales and purchase registers
  • Expense vouchers with bills
  • Stock statement, if the business holds stock
  • List of debtors and creditors

Ask for exports from the accounting software, not photos. The totals in the return must tie to the books, and a photo of one page cannot be checked against the rest. Keep a dated copy of each request in the file, so you can show what was asked and when.

Which bank and TDS papers do you need?

  • Bank statements for every current and savings account
  • Form 26AS and AIS for the year
  • TDS certificates from each deductor
  • Interest certificates from banks and the post office

Match each TDS credit to a certificate before you draft the return. A missing certificate is what stalls the match, so chase it early.

Does a tax audit change the list?

It does. A tax audit under section 44AB applies when business turnover is above ₹1 crore, or above ₹10 crore if cash receipts and cash payments are each no more than 5%. For professionals, gross receipts above ₹50 lakh trigger it. These are the limits for FY 2025-26. From tax year 2026-27, the tax audit provision is section 63 of the Income-tax Act, 2025. The audit adds the audit report, the stock register and the fixed asset register. The tax audit document request list lists them in order.

What are the usual due dates?

Non-audit ITR-3 returns are due 31 July, or the later date notified for your return type. Audit-case returns are due 31 October, and the tax audit report is due 30 September. A belated return can be filed by 31 December under section 139(4), with a late fee under section 234F. Dates can be extended, so check the latest notifications or the portal before you promise one. Check the portal for the last date of a revised return under section 139(5) as well. From tax year 2026-27, the return sits under section 263 of the Income-tax Act, 2025. Check the forms notified for that year before you reuse last year's list.

How do you collect ITR-3 papers without the chase?

Business papers come from the owner, the accountant, the banks and the deductors. Reposha, a WhatsApp alternative for client documents, collects them in one round. Send one upload link for the full list. The owner uploads from a phone or laptop with no account to create. Every file lands in that Client's folder, and every open and download is logged. Upload pages come in English and Hindi, and the link and one-time code arrive as two separate WhatsApp messages.

Late papers often trace back to a vague request. The reasons clients send documents late are worth a read before the next filing season.
