Tell Clients to Stop Sending Documents on WhatsApp: Ready-to-Send Messages in English and Hindi

It is Monday morning, and you have decided that documents will no longer come on WhatsApp. Now comes the awkward part. You have eighty clients who have sent files this way for years, and you do not want to sound strict or unhelpful.
This guide covers how to tell clients to stop sending WhatsApp documents without losing goodwill. It has messages you can copy in English and Hindi, plus a short plan for the first month.
- Say what is changing, from when, and what the client should do instead.
- Give one reason that helps the client: their documents stay private and in one place.
- Include the link in the same message, and say no account is needed.
- Keep the message short and warm. Offer help for the first upload.
Why a message works better than a rule
A rule says "do not". A message says "here is what is better for you". Clients accept change when they see the benefit to themselves.
The benefit is real. Their PAN, Aadhaar and bank statements stay in one private place, instead of sitting in a chat that several people can see. They also never have to scroll back to find what they sent.
Care for personal data is also becoming a legal expectation, and the Digital Personal Data Protection Act, 2023 is published by MeitY. We explain the firm's side of this in the hidden cost of collecting documents on WhatsApp.
What every message should include
A good message is short and has five parts.
- The change. Documents now go through a secure link.
- The date. From when it starts.
- The reason. Privacy and a single safe place.
- The link. Right in the message, with a note that no account is needed.
- The offer of help. A line that says you will guide them the first time.
Leave out long explanations. Nobody reads a paragraph about data protection on chat.
How to tell clients to stop sending WhatsApp documents
Copy this, fill in the brackets and send it to each client with their own link.
Hello [Name], a small change from [date]. [Firm name] will now collect documents through a secure upload link instead of WhatsApp.
It keeps your PAN, Aadhaar and statements in one private place that only your assigned team can open. You do not need to create an account. Just open the link, upload your documents and you are done.
Your link: [link]
Please do not send documents on chat from now on. If you need help, reply here and we will guide you. Thank you.
The Hindi message and a gentle reply
Many clients feel more at ease in Hindi. Use this version for them.
Some clients will send a file on chat anyway, out of habit. Do not scold. Send a gentle nudge.
Thank you, [Name]. We have the file. For safety, could you upload it through your link next time? It takes one minute: [link]
For Hindi:
धन्यवाद [नाम] जी, फ़ाइल मिल गई। सुरक्षा के लिए अगली बार कृपया इसे अपने लिंक से अपलोड करें। एक मिनट लगता है: [लिंक]
Then move the file yourself. Save it to the client's folder, and delete it from your phone and the chat.
A four-week plan to make it stick
Messages work better with a routine behind them.
- Week 1. Send the message to your ten most active clients. Be available for questions.
- Week 2. Send it to the next thirty. Fix any wording that confused people.
- Week 3. Send it to everyone else. Use the short reply when someone slips.
- Week 4. Stop opening documents on chat. Politely redirect each one.
Keep the tone helpful throughout. A client who finishes the first upload in two minutes becomes your best advocate. You can see how the link looks to a client on the features page. For a ready routine on a busy season, see how to collect ITR documents without chasing.
A few clients, often older ones, will struggle. Do not insist. Ask a family member to help, or offer to walk them through on a call once.
Keep these as exceptions, and handle their files with the same care. Add the file to their folder as soon as you receive it. Over time the exceptions get fewer.
Where Reposha fits
Reposha is a secure client document service that gives you the link these messages refer to. You create a request for a client, name the documents you need, and share one link. The client opens it on a phone, enters a one-time code and uploads, with no account to create. Files go straight to that client's folder with the names you chose. You can see who has uploaded and who has not, and send a gentle reminder from the same screen.
Questions people ask
How do I tell clients to stop sending documents on WhatsApp?
Send a short, warm message that says what is changing, from when, and why it helps them. Include their upload link and say that no account is needed. Offer help for the first upload and redirect any later chat files politely.
Will clients be upset if I ask them to use a link?
Most are not, when the message is kind and the link is easy. Explain that it protects their documents, and offer to guide them once or twice. A small number of clients need help, and a short call usually solves it.
Can I send this message in Hindi?
Yes. A Hindi version helps clients who are more comfortable in it. Use the version above, and fill in the name, date, firm name and link. You can adapt the wording to match how you normally speak to your clients, in any language.
What if a client keeps sending documents on chat?
Send a polite reply asking them to upload through the link next time. Save the file to their folder yourself so nothing is lost. Be consistent for a month or so, and the new habit usually changes without any friction.
