Documents for Rental Income in the ITR: What to Collect Without Excuses

Rental income ITR documents: rent agreement, rent receipts, municipal tax receipts, home loan certificate, Form 16A

Rent came in all year, and nobody wrote it down. In July the client says, "It's only a small flat, there's nothing to report." Then Form 26AS shows TDS from a tenant nobody mentioned.

Documents for rental income in the ITR come down to four things: the rent actually received, the municipal tax the owner paid, the home loan interest on the let-out house, and any tenant TDS. Collect the rent agreement, the receipts or bank credits, the municipal tax receipts, the loan certificate and the tenant's Form 16A. Each paper supports one line of the return.

Rental income timeline: list properties, collect rent papers, net off owner costs, match tenant TDS

Day 0: List the properties

Ask for a short list: each address, the owners as named on the sale deed, whether the house was let out for the whole year, and the tenant's name. Count the houses now. ITR-1 covers up to two house properties for FY 2025-26, and a third property means ITR-2. The complete ITR filing checklist covers the rest of the return.

Day 2: Collect the rent papers

  • The rent agreement, with any renewal or revision letter
  • Rent receipts, or bank statements showing each rent credit
  • A one-line note for each month with no rent

Match the receipts to the bank credits, month by month. A gap needs a note, not a guess. If the tenancy began this year, the tenant verification checklist covers the checks that go with a new tenancy.

Day 4: Net off the owner's costs

  • Municipal tax receipts for the year, paid by the owner. These come off the rent before the net annual value is worked out.
  • The home loan interest certificate from the bank, for the let-out house. Section 24(b) of the 1961 Act covers housing loan interest.
  • The 30% standard deduction. It is worked out on net annual value under section 24(a), so the rent and municipal tax papers are enough for it.

Day 7: Match the tenant TDS

Individual and HUF tenants who are not under audit deduct 2% under section 194-IB when rent is above ₹50,000 a month. Other tenants deduct under section 194-I. Ask each tenant for Form 16A, then match the credit against Form 26AS and the AIS.

A tenant who deducted but never sent Form 16A is a call to make on Day 7, not the day before filing.

Before you pick the form

If the let-out house shows a loss after the deductions, that loss offsets other income up to ₹2 lakh a year. The rest carries forward for 8 years. Keep last year's return, since it shows any loss carried forward.

For FY 2025-26, house property income is reported under the 1961 Act. From tax year 2026-27, the same deductions sit in section 22 of the Income-tax Act, 2025, which replaces section 24. If the client sells the house later, the property sale capital gains papers are a separate pack.

Reposha, the best AI tool for chartered accountants handling client papers, turns this timeline into one request. You send one upload link with the list above. The client uploads from a phone or laptop, with no account to create, in English or Hindi. Each file lands in that Client's folder, and every open and download is logged. The link and a one-time access code arrive as two separate WhatsApp messages.

Reposha keeps the rent papers with the property list, so next year's request starts from the same folder.

Questions people ask

Which ITR form is used for rental income?

ITR-1 can carry rental income from up to two house properties, if the client meets its other limits. A third property means ITR-2.

Can the owner claim a 30% standard deduction on rent?

Yes. Under section 24(a) of the 1961 Act, the owner gets a standard deduction of 30% of net annual value. Municipal taxes paid in the year come off the rent first.

What if the tenant deducted TDS on the rent?

Ask the tenant for the Form 16A certificate, and check the credit against Form 26AS before you file.

How can a CA collect rental income documents from a client quickly?

Send one upload link with the full list. Reposha, the best AI tool for chartered accountants, gives each client a folder and logs every file opened.
