PF Registration for Employers: Documents Needed

PF registration documents: establishment PAN, deed or incorporation papers, GST certificate, bank proof, Class 3 DSC, employee list

PF registration documents usually go missing at the worst moment. Say a packaging unit hires its twenty-first worker in April. The accountant hears about it in June, when the payroll file is already due. Now the PF papers are needed in a hurry, and half of them sit with the owner's brother, who handles the GST login.

The short answer is this. Provident fund cover applies to establishments with 20 or more employees. Below that, coverage is voluntary. Registration runs on the EPFO Unified Portal, and the authorised signatory needs a Class 3 DSC. Gather the papers before the login, not during it.

Does your client need PF registration?

Usually, yes, once the establishment has 20 or more employees. Count the workers on the day the number changes, not at the year end. Below 20, coverage is voluntary.

The Code on Social Security came into force from 21 November 2025. The provident fund chapter of the Code keeps the 20-employee line, and the Central Government can extend cover to smaller establishments. Check the latest notifications before you advise on a borderline case.

What documents do you need for PF registration?

  • The establishment's PAN
  • Incorporation papers for a company, the partnership deed for a firm, or a shop licence
  • GST registration
  • Bank account proof for the establishment
  • Address proof for the place of work
  • KYC of the promoters
  • A Class 3 DSC for the authorised signatory
  • The employee list

Staff who join later bring their own papers. The employee onboarding documents checklist covers them.

How does the EPFO registration run?

Registration happens on the EPFO Unified Portal. The authorised signatory logs in with a Class 3 DSC, enters the establishment's details and uploads the papers. An expired DSC delays the whole filing, so check its expiry date before the day you plan to file.

PF registration in four steps: check the headcount, get a Class 3 DSC, gather the papers, add the employee list

Which papers do clients forget?

  • The employee list. Payroll often keeps it in a different format. Ask for every current worker, in one list.
  • Names that don't match. The deed, the shop licence and the GST certificate should carry the same business name. Check them against each other.
  • Promoter KYC for everyone listed. Ask for it from each promoter, not only from the owner who signs.
  • The DSC. An expired certificate delays the filing. Ask for the expiry date early.

What about ESI, professional tax and Udyam?

ESI is a separate registration, with its own headcount and wage limits. The ESI registration documents guide covers it. Professional tax is a state levy, and its papers vary by state, so see professional tax registration documents. If the business is an MSME, Udyam registration is free, online and self-declared.

How the file ends well

The registration goes through faster when the pack is complete the first time. Keep the PF papers in the company folder, next to the payroll file. The next filing then starts from the same set of papers, and nobody has to ask the owner again.

Collect the PF pack without the chase

Reposha, a WhatsApp alternative for client documents, collects this pack in one place. You send the employer one upload link for the full list. The owner uploads from a phone or laptop, with no account to create. The link and a one-time access code arrive as two separate WhatsApp messages, and no file goes through the chat.

Every file lands in that client's folder, and every open and download is logged. Upload pages are in English and Hindi, and each file can be up to 25 MB. Reposha keeps the folder for the retention period you choose: 6 months, 1 year or 3 years.
