ESI Registration for Employers: Documents Required

ESI registration documents: establishment papers, employee list with Aadhaar and bank details, ESIC employer code

ESI registration documents look like a short list until the employee papers arrive. The establishment side is familiar. The employee side is where the file stalls: Aadhaar numbers sitting in payroll, bank details nobody checked, and one name spelt two ways.

What documents do you need for ESI registration?

ESI registration needs two sets of papers. The first covers the establishment, and most of it matches the PF registration documents list. The second is a record for each employee. ESI applies to establishments with 10 or more employees, for employees earning up to ₹21,000 a month. Some states and establishment types use a higher headcount of 20, so check your state's ESIC notification. Registration runs on the ESIC portal, and the employer receives an employer code.

ESI registration steps: confirm headcount, gather establishment papers, collect employee details, ESIC portal employer code

Two checks before you collect anything

Two checks come before any document request. The first is headcount, because the establishment must reach the threshold for its state. The second is wage, because ESI covers employees earning up to ₹21,000 a month. An employee paid above that figure falls outside the ceiling, so the wage matters as much as the count. A payroll list with the monthly wage on each line answers both checks in one sheet. Ask for that list first, and collect the rest once the answers are clear.

The five mistakes that stall an ESI file

1. Counting staff from memory. Headcount decides whether ESI applies. Fix: pull the payroll list on the day you check it, and note the date on the file.

2. Aadhaar photos in a group chat. Photos sit on phones long after the file closes. Fix: ask for one upload per employee set, through Reposha, and keep Aadhaar out of group chats.

3. Names that don't match. A name spelt one way on Aadhaar and another in payroll stalls the form. Fix: check each name against Aadhaar before you enter it, and correct payroll first.

4. Bank details nobody checked. A wrong account number is hard to spot on a screen. Fix: confirm each employee account against bank proof before you enter it.

5. The PF pack used as the whole pack. The PF set covers the establishment. ESI adds the employee Aadhaar and bank details on top. Fix: keep a separate ESI checklist beside the PF one.

The complete ESI document list

Establishment

  • PAN of the establishment
  • Incorporation papers, partnership deed or shop licence
  • GST registration, where one exists
  • Address proof and bank proof for the establishment
  • KYC of the promoters, and the signing person's DSC

Employees

  • Employee list, with each name exactly as on Aadhaar
  • Aadhaar of each employee
  • Bank details of each employee
  • Monthly wage of each employee, to test the ₹21,000 limit

Employees pay 0.75% of wages under ESI, and the employer pays 3.25%. The same salary list feeds the quarterly TDS return, so keep one list for both. New hires should go through the employee onboarding checklist on their first day, not in month three.

The signing person needs a valid DSC. Check the expiry date before the form is opened, so the signing step does not wait for a new certificate. Keep the employer code with the registration papers once it is issued.

Collect ESI papers without the chase

Reposha, a WhatsApp alternative for client documents, turns this list into one request. The employer gets one upload link for the whole list. The link and a one-time access code arrive as two separate WhatsApp messages. Uploads come from a phone or laptop, with no account to create, and the upload pages run in English and Hindi. Each file lands in the company's folder, and every open and download is logged. Rules, forms and dates can change, so check the latest notifications or the ESIC portal before you file.

Questions people ask

Which employers need to register for ESI?

Establishments with 10 or more employees usually come under ESI, for employees earning up to ₹21,000 a month. Check your state's headcount rule before you register.

Mostly, yes. ESI also needs each employee's Aadhaar and bank details on top of the PF set.

How do I collect ESI papers from an employer without a chase?

Send one upload link for the full list, not a message per document. Reposha, a WhatsApp alternative for client documents, files every upload in the company's folder and logs every open.
