Mutual Fund Nominee Update: Documents Needed

Mutual fund nominee update documents look like one form. In practice they need the investor's signed request, a KYC check and the details of each nominee. Miss one piece and the request waits.
Under SEBI's revised nomination framework of January 2025, introduced in phases, an investor can name up to 10 nominees for mutual funds and demat accounts. SEBI has since consulted on a lower cap, so confirm the current limit with the fund house. For each update, collect the investor's signed request, the folio or account details, the KYC status and each nominee's name, relationship and contact details.
Our guide to KYC documents for MF distributors and insurance advisors covers the KYC base. This article covers the nominee step on top of it.
How do you update a mutual fund nominee, step by step?
The plan below is a practical order, not a legal timeline. Adjust the days to suit your practice.
Day 0: Confirm what is changing
Add, change or remove? Write the answer on the client file. Then get the investor's signed request, dated, before anything else. Note the folio or account details on the same page.
Day 2: Check the KYC status
KYC is done once, through a KYC Registration Agency and linked with CKYC. The status can read validated, registered or on hold. Check it before you draft the nominee form. An on hold status needs sorting first. If the KYC details themselves need a change, see KYC modification for investors.
Day 3: Gather each nominee's details
- Full name, as on the nominee's own ID
- Relationship to the investor
- Address and contact details
- The share each nominee gets, if the form asks for it
- Any ID proof the fund house form asks for, such as PAN, as it differs by fund house
Day 5: Send the file securely, then submit
Send the investor one secure upload link for the signed form and the nominee papers. Keep PAN and folio details out of forwarded chats. Our piece on the safe way to send documents explains the chat risks. Then submit, and keep the acknowledgement.
Day 7: Check the updated record
Once the update is confirmed, check the nominee on the account record. File the signed form and the acknowledgement in the investor's folder. If the investor lives abroad, add the FATCA and CRS self-declaration and overseas address proof, since those apply to NRI investors.
What should stay on file after the update?
Keep three things together: the signed request, the acknowledgement and the KYC status as it stood on the day of the update. Record which folio each request covers, so the file matches the account. Where there are several nominees, keep one table with each name, relationship and contact details. The table needs only as many rows as the fund house allows nominees. Review the table each time the investor's KYC is updated.
What if the investor has died?
That is not a nominee update. It is a transmission, and it needs different papers. Read transmission of mutual fund units after death before you start. The death certificate and the transmission request form are the first two papers to ask for. Legal heir papers can apply when there is no nominee, or when the holding is above a value limit that the fund house applies. Ask the fund house for its current limit before you promise the family a short list.
Collect nominee papers without the chase
Reposha, AI for financial advisors, turns the nominee file into one request per investor. Each Client gets an upload link and a one-time code, as two WhatsApp messages. They upload the signed form, ID and nominee papers from a phone or laptop, with no account to create. Pages come in English and Hindi.
Each Client has a folder. Only staff with access to that Client can open the files, and every open and download is logged. Reposha keeps the acknowledgement in the same folder, so the next review starts from a complete file.
