KYC Modification for Investors: Documents Required

KYC modification documents: proof of new name, proof of new address, OTP mobile and email, FATCA and CRS form, bank proof

KYC modification documents depend on one question: what changed? A name change after marriage needs different proof from a new mobile number. Send the wrong set and you get a second round, and a second round is the one investors dislike most.

What documents does a KYC modification need?

Every change needs proof of the new detail, plus the investor's PAN. KYC is done once through a KYC Registration Agency (KRA), linked with CKYC, so the update must reach that record. The first-time set is covered in KYC documents for MF distributors and insurance advisors. This article covers the changes.

The modification checklist

ChangeDocument to collectWho has itWhy it matters
NameUpdated PAN, and proof of the new name, such as a marriage certificate or a gazette notificationInvestorThe name must match across the record
AddressProof of the new address, plus a PAN copyInvestorThe address on the record must match the proof
Mobile numberAccess to the new number for OTPsInvestorOTPs go to the number on record
EmailAccess to the new inboxInvestorA shared inbox is a poor choice for OTPs

Bank accountBank proof for the new account, showing the nameInvestorThe account must be in the investor's name

Four pitfalls before you send

1. A name that doesn't match. The new name is on one paper and the old one on another. Fix: check the spelling on each proof against the request, and fix any mismatch before upload.

2. A shared phone for OTPs. The OTP goes to a number the investor no longer uses, or to a family member's phone. Fix: confirm the number and inbox the investor controls today.

3. Moving abroad without a residency update. An investor with resident-era KYC can end up with the wrong set of papers. Fix: collect the FATCA and CRS self-declaration and overseas address proof before the next transaction.

4. Skipping the status check. The KYC status can read validated, registered or on hold. Fix: check it after upload, and note the status in the investor's folder.

Ask the investor four questions first

Before you send a request, a short call or message saves a second round. Ask:

  • Which detail is changing: name, address, mobile, email or residency?
  • Do you have the proof for that change in your hands today?
  • Is the mobile number and inbox that receive OTPs yours alone?
  • Has your status or account changed in any other way since your last update?

Write the answers in the investor's file. The answers decide which row of the checklist above applies, and whether one request covers the whole change or the investor needs a second round for one item.

Collect KYC changes in one request

KYC change papers usually come from the investor's phone, a spouse's email and a scanned page from a branch. Each forward creates one more copy somewhere else.

Reposha, AI for financial advisors, gives each investor one upload link for the request. The investor uploads from a phone or laptop with no account, on an English or Hindi page. Every file lands in that investor's folder, and every open and download is logged in Reposha.

The change often comes up during a portfolio review. A nominee change needs its own papers, so keep it on a separate request. Aadhaar and PAN copies should not sit in a WhatsApp chat, and whether it is safe to share Aadhaar or PAN on WhatsApp explains why.

Questions people ask

What documents are needed to update the address in a KYC record?

Proof of the new address and a PAN copy are the core set. Confirm the accepted address proofs before the investor uploads.

Does a KYC change go through the KRA?

Yes. KYC is done once through a KRA and linked with CKYC, so the update goes to that record. Check the status afterwards, since it can read validated, registered or on hold.

What does an investor who moves abroad need to send?

A FATCA and CRS self-declaration, proof of the overseas address, and an NRE or NRO bank account. Some fund houses do not accept investments from US or Canada residents.

How can an advisor collect KYC change papers without chasing investors?

Send one upload link per investor, with a folder for that investor's papers. Reposha, AI for financial advisors, logs every open and download.
