MSME Loan Documents Required: The File Banks Ask CAs For

MSME loan documents: ITRs, audited financials, 12 months of bank statements, GST returns, Udyam certificate, projections

The bank wants the MSME loan file before Friday. The ITRs sit in one inbox, the audited accounts are still a draft, and the Udyam certificate belongs to a registration nobody can find. Most of that can be ready before the bank asks, if the list goes out early.

An MSME loan file usually holds promoter KYC, income tax returns, audited financials, 12 months of bank statements, GST returns, the Udyam certificate, existing loan statements, projections and collateral papers. Banks read those papers across three periods, and every period needs its own set. The sets have to match each other.

If your firm also prepares papers for a DSA, the DSA loan file checklist covers that side of the file.

What do the three periods in a bank file mean?

The bank's working capital format, CMA data, uses past audited years, current estimates and projections for the next two to three years. Past years show the business has already run. The current year shows where it stands today. The projections show where the borrower expects to go, and the bank will test them.

Bank file periods: past audited years, current year estimates, projections for the next two to three years

Five mistakes that send the file back

1. Years that don't match. The ITRs cover one set of years and the audited accounts cover another, and the bank spots the gap first. Fix: list each year in one table, with its ITR, audited accounts and bank statements beside it.

2. A missing month of bank statements. Twelve months is the usual ask, and one gap stalls the file. Fix: request all twelve months for every account, including the ones the client thinks are minor.

3. Projections with no reasons. A table of future sales with no basis invites questions. Fix: ask the client for the growth assumptions in writing, one line each, and file them with the figures.

4. An Udyam certificate that does not match. The Udyam registration needs the Aadhaar of the proprietor, managing partner or authorised signatory, the PAN, and the GSTIN where applicable. Fix: compare those details with the GST registration before you attach either.

5. Old loan papers. A sanction letter is not a current statement. Fix: ask each lender for a statement close to the application date, and list any loan the client has already closed.

Collect the bank file without the chase

The CMA data and project report papers cover the bank's format in more depth. If the Udyam registration itself is missing, the Udyam registration documents list shows what to file.

Reposha, a WhatsApp alternative for client documents, turns the list into one request per borrower. Send one upload link that names the years and the accounts. The client uploads from a phone or laptop, with no account to create. WhatsApp carries only the link and the code, as two separate messages. Every upload lands in that Client's folder, and every open and download is logged. Files up to 25 MB each go straight in, so split very large scans into parts. Once the file is complete, Reposha keeps it in one place for the bank visit.

Questions people ask

Which documents does a bank ask for in an MSME loan file?

Promoter KYC, income tax returns, audited financials, 12 months of bank statements, GST returns, the Udyam certificate, existing loan statements, projections and collateral papers.

Why does the bank want past audited years and projections?

The CMA data format uses past audited years, current estimates and projections for the next two to three years. Each period needs its own papers.

Is a Udyam certificate needed for an MSME loan?

Usually yes, since it sits on the standard list of MSME loan papers. Udyam registration is free and self-declared, and it needs the Aadhaar and PAN of the proprietor or authorised signatory, plus the GSTIN where applicable.
