The ITR-2 Capital Gains Documents Clients Always Forget

Documents required for ITR-2 rarely arrive in one go. A client sold a flat in March, some listed shares in June and a debt fund in November. Each sale came with its own statement, in a different inbox, and none of them was in the folder when the return was started.
Documents required for ITR-2 when there are capital gains
ITR-2 is the usual form for an individual or HUF with no business or professional income who cannot use ITR-1. Capital gains are one of the reasons. If you are still checking the simpler form, start with who can file ITR-1.
Every gain needs two kinds of proof: the sale statement and the cost. The sale statement shows what was sold and for how much. The cost papers show what it was bought for, and when. Collect both for every sale before the return is drafted.
Shares and equity mutual funds
- Broker's capital gains statement for the year, showing each sale and its purchase date
- Contract notes for every buy and sell, to check cost where the statement is thin
- Demat holding statement, for the opening and closing position
- Records of bonus issues or share splits, where the number of shares changed
Listed equity gains under section 112A of the Income-tax Act, 1961 stay on ITR-1 only up to ₹1.25 lakh, and only with no capital losses brought or carried forward.
Debt funds and other mutual funds
- Redemption statement for each sale, from the fund house or registrar
- Purchase statement or SIP history, to check the cost
- Switch records between schemes, because a switch can count as a sale
Ask for every redemption, not only the year-end summary.
Property sold
- Sale deed, with the buyer's name and the sale value
- Purchase deed, for the cost
- Receipts for any improvements the client made
- Bank proof for the payments on both sides of the deal
A property sale alone moves the return off ITR-1, because the gain sits outside section 112A.
Unlisted shares and foreign holdings
Holding unlisted equity at any time in the year already rules out ITR-1. Foreign assets do too. Both take the client to ITR-2 instead. Collect:
- Share purchase and sale agreements, with the company's allotment letter
- Any valuation report used for the sale
- Foreign holding statements, and the bank statements that show the sale
Carried-forward losses
A loss from an earlier year changes the return. Ask for the earlier return where the loss was declared. A capital loss brought or carried forward keeps the client off ITR-1, so the return stays on ITR-2.
What changes from tax year 2026-27
For FY 2025-26, the return is filed under the Income-tax Act, 1961. From tax year 2026-27, section 112A of that Act becomes section 198 of the Income-tax Act, 2025. Check the forms notified for that year before you reuse this list.
Collect the gains file in one request
The gains papers come from a broker, a fund house or registrar, a buyer's lawyer and a bank. Asking for them one message at a time is how papers get lost. A portfolio review pulls a similar set of statements, so that checklist overlaps with this one.
Reposha, a WhatsApp alternative for client documents, turns this into one request. Each Client gets one upload link for the whole list, with a one-time code sent as a second WhatsApp message. They upload from a phone or laptop with no account, on an English or Hindi page. Every file lands in that Client's folder, and every open or download is logged in Reposha.
The rest of the return sits in the ITR documents checklist, and the approach in collecting ITR documents without chasing applies here too.

Questions people ask
Which documents are needed for ITR-2 when a client sold shares?
The broker's capital gains statement, the contract notes for each buy and sell, and the demat holding statement. Shares that were unlisted also need the purchase and sale agreements.
When is ITR-2 the right form for a client with capital gains?
When the gains go beyond what ITR-1 allows, and the client has no business or professional income. ITR-1 cannot carry any other capital gain or any capital loss.
What if my client has a capital loss from an earlier year?
Ask for the earlier return where the loss was declared. A loss brought or carried forward takes the client out of ITR-1.
How can a CA firm collect capital gains papers from clients quickly?
Send one upload link for the whole request, not a new WhatsApp thread for each statement. Reposha, a WhatsApp alternative for client documents, keeps each client's papers in one folder and logs every open.
