How CAs Collect Documents From Clients: 5 Methods Compared

Every CA firm collects documents somehow. Some use one method for everything. Others mix three or four, and the team ends up searching across all of them. This article compares the five methods firms use most, so you can choose on purpose rather than by habit.
Which method should a CA firm use?
For anything that identifies a client or holds financial detail, use a secure upload link with access controls and a log. Use email only for low-sensitivity, one-off documents. Keep WhatsApp for conversation, not for files. Paper still has a place for originals, but scan and store every original you receive. The right answer is usually one method for documents, with the others limited to their proper uses.
The five methods
WhatsApp is the default for most clients. It is quick to set up and easy for clients to use. Its weakness is that files spread across phones and chats, and nothing records who opened them.
Email is familiar to everyone. Attachments are easy to send and hard to control. They get forwarded, stored in inboxes for years, and copied into shared mailboxes.
Shared drives and cloud folders give you an organised structure. They work well when access is managed carefully. They fail when old permissions pile up, or when links are shared more widely than intended.
Paper and courier suit originals, such as share certificates or signed agreements. They are slow, costly to track, and easy to lose in transit.
A secure upload link gives each client a private route for each request. Files go straight into the client's folder. Access is limited to assigned team members, and every view and download is logged. Clients do not need an account.
How the five methods compare

The table below rates each method on the five things that matter most in day-to-day work. These ratings are the author's assessment, based on how the methods typically work in practice.
| Method | Speed for clients | Safety | Easy to search | Staff control | Effort for clients |
|---|---|---|---|---|---|
| High | Low | Low | Low | Low | |
| Medium | Low to medium | Medium | Low | Medium | |
| Shared drive | Medium | Medium | High | Medium | Medium to high |
| Paper and courier | Low | Medium | Low | Medium | High |
| Secure upload link | High | High | High | High | Low |
What peak season does to each method
Between May and July, and again near audit deadlines, volume rises sharply. WhatsApp becomes unmanageable first, because the same questions repeat across hundreds of chats. Email follows, with duplicate attachments and missing files. A structured method with a clear list keeps its shape under pressure, because each client's request is separate and trackable.
Plan for the peak in advance. Send checklists early, set one reminder date, and keep a simple list of what is still missing for each client.
How to switch without losing clients

Start with your largest or most demanding clients. Explain the change in one sentence: "From now on, we'll send you a secure link for documents, so nothing gets lost in chats." Most clients accept this quickly, especially when the link is simple to use.
Keep the old method running for a month while clients settle in. Then stop accepting new documents by chat, and move the remaining files into folders.
Where Document Intelligence fits
Document Intelligence, coming soon, will answer questions from the files in a client's folder. That feature depends on the files being in one place. Firms that collect through a structured method will be ready for it first. You can read more on the Document Intelligence page.
What to tell your team
Explain the reason for the change in one paragraph. Staff who understand why the firm is moving will follow the routine more carefully. Tell them which method is for documents, which is for conversation, and which is for originals. Give the process one owner, who answers questions and fixes problems.
Track the first month. Count how many requests arrived complete, how many needed a follow-up, and how long each one took. Those numbers show whether the new method is working, and they give you something concrete to discuss at the monthly review.
Questions people ask
Do I have to choose just one method?
For client documents, yes. Mixing methods is what creates the search problem. Use the others only for their proper purposes, such as conversation or original papers.
Is paper still necessary?
Sometimes. Keep originals where the law or the work requires them. Scan every paper document you receive, and store the scan in the client's folder.
How do I start if my team is used to WhatsApp?
Pick one client group, such as salaried clients, and move them first. Once the team has the rhythm, add the next group. Trying to change everything in one week usually fails.
