Find a Client's GST Number in 5 Seconds: A First Look at What's Coming to Reposha

Search box above a client folder with a highlighted GST number and the page it came from

It is 11 am on the 10th. A partner asks, "What is Gupta Traders' GSTIN?" You know it is in a document somewhere. You open the folder, then a PDF, then another. Ten minutes later you find it on page three of a registration certificate.

Multiply that by fifty such questions a month and it is easy to see why people want to search client documents instantly. This article is a first look at where Reposha is heading, and a plain explanation of what that could mean for a busy firm.

Quick answer
  • Finding one figure in a client folder often means opening many files, one by one.
  • Document Intelligence is the next step for Reposha. It is coming, and has no launch date yet.
  • The idea is to ask a plain question and get an answer that points to the exact page.
  • It builds on a tidy, private vault, so starting with organised folders now helps.

Why you cannot search client documents instantly today

Most of the time, what you need is small. A GST number. A policy end date. A loan account number. A figure from last year's return.

But the number lives inside a document, and the document lives inside a folder. So you open files you do not need, to find the one line you do. Each hunt takes a few minutes. Together they eat hours every week, and they are the hours you cannot bill.

A short example shows the gap. Imagine a firm with two hundred clients and forty documents on average in each folder. That is eight thousand files. Nobody remembers what is inside most of them, and nobody should have to. Names help only if the person who saved the file named it well, and on a busy day nobody does.

Think of the questions you actually ask in a week. "What was the invoice total in March?" "When does his policy lapse?" "Which bank is the loan with?" They are small, and each one costs a folder search.

What file names and folders can and cannot do

Good habits help. A folder per client and clear names such as "GST registration" get you close. Tidy folders are the first step, and we explain why in why WhatsApp is a weak place for client documents.

But a name tells you only what a file is, not what it says. The number you want is on the inside. That is where today's tools stop, and where the next step begins.

What Document Intelligence is meant to do

Document Intelligence is the name we are giving to the next part of Reposha. In plain terms, it is meant to help you do three things with documents you already hold.

  • Find. Look up a figure across a client's documents without opening each file.
  • Ask. Put a plain question and get an answer that points to the exact page.
  • Check. See what is missing from a client's documents before a deadline.

We describe it by what it does for you, not by how it works. The point is a faster, calmer day.

Privacy stays at the centre of this work, as the Digital Personal Data Protection Act, 2023 (published by MeitY) expects of anyone who holds personal data. Your documents remain private, exactly as they are today. Access stays limited to the people you assign, and every open stays on the record.

Nothing here replaces your judgement either, and nothing here changes who owns the file. Your clients still trust you with their papers, and you remain the one who decides what to do with them.

An answer that points to a page lets you check it yourself. Professionals sign their own work, and this is built to respect that.

What we are not promising

We are still building. There is no launch date, and we will not announce one until it is ready. We also do not claim any fixed level of accuracy. Documents vary, scans are imperfect, and you should always confirm a figure against the source before you rely on it.

Instead, we are building with the people who will use it. That is why we ask for the questions you wish you could put to your documents. You can read more on the Document Intelligence page.

How to get ready now

Even before it arrives, a few habits will make it more useful.

  1. Collect in one place. Documents that arrive on chat and email are hard to bring together later.
  2. Name each document clearly when you ask for it, such as "Form 16" or "GST registration".
  3. Keep one folder per client, and keep it current.
  4. Erase what you no longer need, so old clutter does not get in the way.

A tidy vault helps you today, and it will help more later. The same habits also support better security, as we describe in who opened that file.

Last, tell us your question, because it helps us decide what to build first. What is the one question you wish you could ask your client documents? Reply to the confirmation email when you join the list, and tell us. The best answers shape what we build first.

If you are still choosing how to collect and store documents, our guide to the nine questions to ask a client document portal is a good place to start.

Where Reposha fits

Reposha today is a secure client document service. Clients upload through a link. Files are filed in one folder per client under the names you set. Staff see only the clients assigned to them, and every open and download is recorded. Document Intelligence is coming and will build on that same private vault. It has no launch date yet. If you join the notify list, we will write to you first, and we may ask you one question about the documents you wish you could search.

Questions people ask

What is Reposha Document Intelligence?

It is the next part of Reposha, coming soon. It is meant to help you find figures in a client's documents. You ask a plain question and see the page it came from. You can also check what is missing before a deadline. Your documents stay private.

When will Document Intelligence launch?

There is no launch date yet, and we will not give one until it is ready. Join the notify list and we will write to you first. We would rather ship carefully than promise a date we cannot keep, because your trust matters more than a launch.

Will I be able to trust the answers?

We make no claim of fixed accuracy. Every answer is meant to point to the exact page, so you can check it against the source. Professionals should always confirm a figure in the original document before they rely on it.

Do I need to be a Reposha user to join the list?

No. No. Anyone can join the notify list. Document Intelligence will build on a Reposha vault, so starting with organised client documents now means yours will be ready when it arrives. You can try the demo with sample data first.
